A clear invoice in a few minutes
An invoice tells a client what they’re paying for, how much, and by when. It doesn’t need special software: it needs the right details, laid out so nobody has to ask questions. This tool lays them out for you and adds up the line items to the cent, then lets you print the invoice or download it as a PDF to attach to an email.
How to use it
- Fill in your details under From, and your client’s under Bill to.
- Give the invoice a number, check the issue date, and add a due date if you agreed on one.
- Add a line for each piece of work or item: a description, the quantity, and the price of one unit.
- Add a discount or a note if you need them, such as how you’d like to be paid.
- Check the invoice below the form, then press Download PDF or Print.
How the totals are worked out
- Each line: the quantity times the unit price, rounded to the nearest cent, with half a cent rounded up. A quantity can have two decimal places, such as 2.5 hours.
- Subtotal: all the lines added together.
- Discount: an amount taken off the subtotal. It can’t be more than the subtotal.
- Total: the subtotal less the discount. Nothing else is added.
Good practice
- Number invoices in order, such as INV-0001 then INV-0002, and never reuse a number, so payments are easy to match.
- Describe the work clearly: “Website copy, five pages” tells a client more than “Services”.
- Say how and when to pay in the note.
- Check what your country requires on an invoice before you send it. This tool makes a clear document; it doesn’t know local rules.
Good to know
- Nothing is saved. Close the page and the invoice is gone, so download the PDF first and keep a copy.
- The currency you pick sets the symbol on every amount, and its code appears beside the total. Nothing is converted.
- Amounts can be typed with or without thousands commas, such as 1250 or 1,250.00.
- The PDF’s font covers English and Western European letters. For other alphabets, use Print and choose Save as PDF.
- Pricing the job first? The Project Quote Calculator turns a scope of work into an itemized quote.
- Sending a timesheet too? Merge PDF puts it and the invoice into one file.

This makes an invoice document from the details you type. What an invoice must include depends on where you work, so check that before you send it.
