Your signature

An email signature that pastes cleanly

A signature tells people who you are and how to reach you, without them digging through old emails. Email apps are fussy about formatting: many drop styling they don’t support, and layouts built like web pages often fall apart. This tool builds the signature the way email apps expect, as a simple table with its styling written into each part, so it keeps its shape when you paste it in.

How to use it

  1. Fill in the details you want to share, and leave out anything you’d rather not send to everyone you email.
  2. Add up to three more links, such as a portfolio or a booking page, each with a short label.
  3. Pick a layout and check the preview.
  4. Press Copy signature, then paste it into your email app’s signature settings, as below.

Pasting it into your email app

  • Gmail: open Settings (the gear), then See all settings. On the General tab, find Signature, choose Create new, and paste. Pick it under Signature defaults, then press Save Changes at the bottom of the page.
  • Outlook: on the web and in the new Outlook for Windows, go to Settings, then Account (or Accounts), then Signatures. In classic Outlook for Windows, go to File, Options, Mail, then Signatures. Paste, choose when it’s used, and save.
  • Apple Mail: choose Mail, then Settings (Preferences in older versions), then Signatures. Select your account, press +, and paste into the box on the right. Untick “Always match my default message font” so the formatting stays.

The three layouts

  • Simple: your name, your role, then a row of contact links.
  • With a divider: name and role on the left, contact details on the right, split by a thin line.
  • Compact: everything on one line, which suits replies.

Good to know

  • Adding a logo: this tool doesn’t add images. Add one after pasting, with your email app’s own signature editor: Gmail and Outlook have an image button, and in Apple Mail you can drag an image into the signature box.
  • If copying doesn’t work in your browser, the tool selects the signature so you can press Ctrl+C (Cmd+C on a Mac). Or download the .html file, open it in your browser, and copy it from there.
  • Only web, email and phone links are kept. Send yourself a test email and try each one.
  • For printed materials, the QR Code Generator turns your website into a code.

Frequently asked questions

Why does my signature look slightly different in some email apps?
Each email app draws HTML in its own way. The signature is built as a simple table with the styling written into each part, the format email apps handle most reliably, but fonts and spacing can still shift a little. Send yourself a test email to check.
Can I add a logo or a photo?
Not in this tool. After pasting your signature, add the image in your email app’s own signature editor, which has its own image option. Keep it small: a large image can make a signature slow to load or show as an attachment.
What should a signature include?
Your name, your role, and one or two ways to reach you are usually enough. Add a link only if you want people to use it, and leave out anything you wouldn’t share with everyone you email, such as a personal phone number.
Are my details sent anywhere?
No. The signature is made on this page, on your device, and nothing is uploaded or saved. Copy or download it before you close the page.
